Camera-ready submission

Guidelines for the authors of accepted papers

All the authors of accepted papers should follow the guidelines below to prepare and submit the camera-ready paper, to sign the IEEE copyrights and register to the conference, by 1st April 2018.

1. Prepare and submit the final (camera-ready) version of your manuscript

The corresponding author must submit the final version of the manuscript before the submission deadline, 1st April 2018. The IEEE ENERGYCON 2018 online submission system is located here.

Before submitting the camera-ready paper, the following steps need to be followed:

  • Address all the comments from the review phase: The authors of accepted manuscripts should address all the reviewers concerns in order to improve the quality of their paper. The ENERGYCON conference committee will check if the authors fully address the reviewers’ comments in the camera-ready papers. In case where major concerns have not been addressed properly, the conference committee has the right to reject the paper.
  • Ensure that the camera ready paper is according to the template: It is strictly noted that all the manuscripts should be written in English, the page limit is six (6) A4 pages, and the provided MsWord or LateX templates are used. The final version of all manuscripts must be in PDF format. In case where a paper is not complying with the IEEE format according to the template, then the paper may not be included in the IEEE Xplore Database.
  • The authors should place the appropriate copyright clearance code notice on the bottom of the first page (last line of the footer with left alignment), as shown in this figure.

Please note that according to the author’s employment status, a different copyright clearance code is required:

  • Please note that for papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5386-3669-5/18/$31.00 ©2018 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5386-3669-5/18/$31.00 ©2018 European Union
  • For all other papers the copyright notice is: 978-1-5386-3669-5/18/$31.00 ©2018 IEEE

Use of IEEE PDFeXpress® to produce the camera-ready PDF version of your paper.
As soon as you have prepared the final version of your camera-ready paper, you need to produce the IEEE compatible PDF version of your camera-ready paper. IEEE maintains strict formatting standards for all manuscripts published in the IEEE Xplore® Digital Library. Authors must use the IEEE PDFeXpress® site located here {https://www.pdf-express.org/} to convert manuscript files to the required format. Please use the conference ID 42420X to create a user account for accessing the IEEE PDF eXpress system.

Here are the instructions for logging in to the IEEE PDF eXpress TM site and produce your IEEE compatible PDF version of your camera-ready paper.

Log in to the IEEE PDF eXpress TM site

For the first-time users should do the following:
1. Select the New Users - Click Here link.
2. Enter the following:

  • 42420X for the Conference ID
  • your email address
  • a password

3. Continue to enter information as prompted.
An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

Create a new title and upload the final version of your paper to produce an IEEE Xplore compatible PDF file

- You will soon receive first an email mentioning that the IEEE PDF eXpress has received your file and then a second email notifying if your paper is IEEE compatible or not.
- In case your paper is IEEE Xplore compatible, then the IEEE Xplore compatible PDF will be attached in the second email as “PIDxxxxxxx.pdf”. Please download this PDF file, which is the one that you have to submit in the conference submission page as the camera-ready paper.
- In case your paper is not IEEE compatible, then the second email will mention “PDF failed” and in the attached file you can find the errors that need to be corrected. Please correct the errors and repeat the procedure by pressing on the “try again” in the IEEE PDF eXpress website until you achieve that your PDF is IEEE Xplore compatible.

Use the IEEE Xplore compatible “PIDxxxxxxx.pdf” file produced by the IEEE PDF eXpress to update your submission according to the next step.

Submit your camera-ready paper:
Log in to the submission website of the conference (www.easyacademia.org/energycon2018), press on the “upload full paper” button of your accepted paper, and on the “Upload” step press “update final paper” and upload the camera-ready “PIDxxxxxxx.pdf” paper as it has been produced by the IEEE PDF eXpress tool. Ensure that you press the "Update submission" button in the Summary step to complete the process.

2. Complete the online IEEE copyright form

The corresponding author must complete and sign the online IEEE Copyright Form on behalf of all authors. This form can only be completed electronically; printed versions are not permitted. Manuscripts without a completed copyright form will not be accepted for publication.

Notes
If you are receiving an error (code 1001) from the IEEE service while trying to submit your copyright, please try removing the www. infront of the website address (http://energycon2018.org/submission.html).

If you are receiving an error (code 1007) from the IEEE service while trying to submit your copyright, please make sure that the author email addresses are separated by a comma (as shown above), not only a space character. In case you encounter any other errors, please contact us at support@easyconferences.org.

3. Register for the conference

At least one author or co-author of an accepted paper must register at the conference before 1st April 2018. All the information about registration are located here. Papers without at least one registered author will not be presented or submitted to the IEEE Xplore Database. Please note that one registration per accepted paper is required. For participants presenting multiple papers, an additional €120 will be charged for each additional paper after the first one, unless covered by the registration fee of another co-author.
